Corporate Document Management - One single copy to be filed instead of multiple copies

I had the opportunity to meet up with Corporate secretaries who shared their challenges in managing digital contents. They shared that they have been filing meeting contents for their bosses. I further clarified and found that they have been filing the same set of meeting contents send from the Meeting Secretary. I then asked the Meeting Secretary to see if they like to adopt a single filing methodology so that one single copy can be filed centrally and accessed by all the rest of the meeting attendees and their secretaries. The Meeting Secretary found this to be a useful method to only file a single copy. The following are the benefits: 1) One central, authoritative source is being filed 2) allows for quick amendments to once single source if there are changes to be made 3) saves the rest of the meeting attendees time and effort as they will not need to file any more contents 4) saves the disk storage space on the Centera as only one copy is needed I had been working on Documentum and OpenText as the central Document Management Repositories.

Lessons learnt from internet launches

The following is a list of lessons learnt during my Internet projects: Never change the content few days before going live, worst if the content menu is different from the actual content Ensure ports to search applications are open as this may not be evident when testing in the uat environment Ensure the vendor or system integrator is well versed with the software When there is a need to interface with another application, it is vital for the project teams to constantly work out the necessary interfacing task such as data migration, data population, data cleaning requirement.

Lesson learnt when deploying a new terms and condition check box for library ebooks

The following are some learning points:
  1. Need to perform a actual click through to actually see the effects, never underestimate the need for actual click through
  2. When deploying the dll, do note the access permission setting at the destination server location
  3. A normal Service request change will be sufficient.

Comparing LC ES2 and Sharepoint MOSS 2007

The following shows my comparison of the above two solutions:

Both have:
Digital Rights management which comes separate and prevents users from copying, forwarding, printing. There is a offline control on the number of days that a document is valid.

Folder and document access control

Ability to tag contents

Version control (quite simple for LC ES2)

Can expose folders as network drives for drag drop from Windows Explorer

Workflow engine



Currently LC ES2 do not have:
-There is no ink control in Adobe forms thus unable to edraw within the forms.
-Recycle bin concept
-drag and drop direct to the web interface (done via Launch pad)


LC ES2 user interface is basic and not so full function as Sharepoint

LC ES2 allows discussion threads on a particular document, is on Java and runs on Web application such as Websphere, Weblogic, Jboss.

LC ES2 with Adobe allows for PDF management, ability to render into PDF.

It has Records Management Template which will provide the user ability to set retention schedules

Enterprise Solution (ES2) livecycle by Adobe

I attended the above and found it slightly friendlier and ease of use when creating workflows. It has the capability to extend the pdf to allow users with the reader to digitally sign their contents. i have a question for them as how do i save the signed copy once the users fills in the contents. There were some bugs found when using the Workbench based on eclipse development. More to come when i attend the second day.
